Electronic Submission Overview

User Ids and Passwords

A user id and password is required to submit a manuscript or revised manuscript. You will be guided through the id and password activation process.

Your e-mail address is your user id. Any e-mail address delivered to you is acceptable, so long as you can reply to a message and in so doing return the text of the message to its originator. NOTE: In ordinary use, email addresses are not case sensitive. However, an email address used as a JCP UserID IS case sensitive. You may use any combination of upper and lower case letters for your UserID, but you must remember and use the same case in subsequent logins.

Electronic File Formats

Initial Preparation

Before preparing a manuscript authors may wish to familiarize themselves with the electronic manuscript requirements of the American Institute of Physics. Awareness of these requirements will minimize potential difficulties surrounding electronic manuscripts upon acceptance for publication. Note, however, that the editorial review process requires that PDF format be used for manuscript submissions.

Review Process

An electronic submission consists of several parts. Each part has its own set of allowed file formats, as follows:

Manuscripts
Manuscripts must be in PDF format. Figures and tables must be included in the PDF containing the manuscript text.
Abstracts
Abstracts may be typed directly into the manuscript submission web forms or uploaded as plain ASCII (txt) files. Abstracts entered during the submission process are used when contacting referees.
Submission Letters
Submission letters may be either PDF files or ASCII (txt) files. For a template, see the Sample Letter.
Notes to Reviewers
Notes to reviewers may be either PDF files or ASCII (txt) files. Notes to reviewers are optional and submitted only with revised manuscripts.
EPAPS (Electronic Physics Auxiliary Publication Service) files
ASCII text is the preferred format for EPAPS files, but any format is accepted.
EPAPS file descriptions
A description of the submitted EPAPS file must accompany each EPAPS submission. The description must be an ASCII text (txt) file.

For review purposes a PDF manuscript file in preprint format is preferable. (Note for foreign authors: To avoid printing difficulties for the JCP and reviewers, please use common fonts: Times New Roman or Times, Helvetica or Arial and Windows or other western encoded versions of Symbol. Fonts embedded in the final PDF file ensure maximum portability.) The PDF format is used only for editorial and peer review; it is not a format acceptable for electronic transmission to the AIP for publication. We must have a properly formatted paper copy to send to the AIP for type setting and publication. We can print the paper copy from a properly formatted PDF file. By "properly formatted manuscript" we mean in preprint format: double spaced; single (wide) column; font size 10 or larger; and in the following order: Title and Abstract, Text, References, Tables, Figure Captions, and Figures (on separate pages at the end of the manuscript). Copyright

A copyright form must be sent to the editorial office before a paper can be accepted. Fill one out, sign it, and return it as soon after submission of a paper as you can. You may download a PDF version of the copyright form.

After Acceptance

Upon acceptance of a manuscript for publication in the JCP you may supply an electronic version of the manuscript to AIP for use in the publication process. The AIP provides detailed information on the preparation and transmission of accepted manuscript's electronic text for publication.

The electronic PDF file used during the editorial review process cannot itself be used by AIP for typesetting.

Acceptable electronic manuscript formats for the publication process are LaTeX and MS Word. Information on electronic submission of accepted manuscripts and any EPAPS materials to AIP will be sent to authors with notification of acceptance for publication.
